Portfolio of Board Responsibility
TREASURER
Responsibilities - Together with the Association bookkeeper,
oversee the management of all forecast association revenues and expenses
with the goal of a balanced annual budget.
DUTIES - Together with the committee members, set annual budget,
present budget for acceptance to the Association at the Annual General
Meeting. Manage Association expenses and revenues, sign cheques, present
monthly financial reports at Board Meeting, present financial reports
at all general membership meetings.
COMMUNICATIONS CHAIR
Responsibilities - responsible for producing WAEM newsletter.
DUTIES - Write and produce newsletter; circulate request for
newsletter items, set advertising rates, sell advertising in newsletter
if deemed applicable.
MEMBERSHIP CHAIR
Responsibilities - Solicit from Board and Membership, names of
potential new WAEM members. Invite prospective members to join WAEM.
Ensure support material is sent to member prospects. Contact non-renewing
or overdue members and encourage them to maintain WAEM membership.
DUTIES - Maintain member and prospective member data base mailings
and faxing.
MEMBER SERVICES CHAIR
Responsibilities - Plan at least four general membership meetings
per year, plus Annual General Meeting.
DUTIES - To prepare a budget for each meeting; to coordinate
the meetings: select a venue; arrange for speakers or presentations;
arranging food an beverage; creating and distribution the registration
form to the membership; arranging registration at the meeting; arranging
50/50 draw and other door prizes; introducing the guest speaker and
arranging gifts.
INDUSTRY AND GOVERNMENT AFFAIRS CHAIR
Responsibilities - To represent the Industry in his/her role
as liaison with Government. To inform the Board and members of public
issues that relate to or affect the industry and Association.
DUTIES - To monitor news and other information services for industry
related issues. To sit on as many committees and task forces as possible
to promote WAEM and members interests to government and industry. To
work on industry survey of WAEM members with a view to using this information
to promote our industry and our members value to the community.
PROMOTIONS CHAIR
Responsibilities - To strategically plan and initiate all promotional
activities for the Association, working towards the following goals:
improve exposure for the Associate in the Lower Mainland and throughout
British Columbia; establish WAEM's reputation as one of the provincial
leaders in expertise in event planning, management and support industries;
make membership known to the media, business, government ministries,
public sector organizations, schools and to other associations.
DUTIES - Prepare and distribute press releases and PSA's. Be
media liaison, produce and maintain a mailing list of contacts in Government
Ministries, tourism agencies, top BC businesses, business agencies,
organizations and clubs, post secondary schools, work on WAEM website,
produce weekly e-mail update.
